EMS distinguishes between two types of Users:
  • Athletes (skiers/riders)
  • Members (Federation Administrators / Officials)

At this stage only Federation Administrators have been invited by the IWWF EMS Administrator (Hannu Rintanen) to join EMS. In the coming weeks it will be the task of the Federation Administrators to invite athletes and officials of their respective Federations to join EMS. The Federation Administrators will be informed through an upcoming EMS Newsletter when it is the right time to invite athletes and officials.

Federation Administrators are either invited by the EMS Administrator or by another Federation Administrator.

The EMS Administrator/Federation Administrators can invite users to join EMS through an “invitation email” on which the user has to click “I agree” and provide his password. From this point onward the user is registered in EMS.

The user should check his spam/junk folder whether the email has been refused by his spam-filter which is frequently the case since the email sent has a “no-reply” email address which some spam-filters are reluctant to accept. If the invitation email is not in the spam/junk folder, the user should contact his Federation or the EMS Administrator.

The use of EMS for the registration of Ranking List competitions will be mandatory for all IWWF National Federations. The IWWF Executive Board may approve exceptions especially for National Federations who have their own EMS system in place. In those cases special electronic links between the two systems will become mandatory. It goes without saying that the use of EMS is free of charge for all Federations.

Click on the Login email address on top right of any screen in the Member Section. Press the “Change Email” function and the “Change Email” screen appears. Now press the green “Change Email” button. An invitation email will be sent to you where you have to click on the “I approve” function. Your Login is now based on your new email.

The Birthdate, Last/First Name and Gender must be controlled by the Federation Administrator when entering/updating the Athletes / Member & Official profiles and are part of the mandatory fields besides the Federation and Country of Origin information. These information fields can only be registered/updated by the Federation Administrator/User but not by the Athlete or Member/Official himself for security reasons since these information fields drive the allocation of age categories when registering to competitions.

In the Filters function of the Menu items Federations, Athletes, Members & Officials, Sites, Competition Participants and User List (planned) you find a green button “Export to Excel”. By clicking this button an appropriate list of the function is provided in Excel format (bottom left of screen) with some leading information but without the email address and the contact details for data protection reasons.

EMS Version 2 (availability planned for October 2020) will provide an email function for Organisers, Federation/Confederation/Discipline Administrators from the search screens of the Federation, Athletes, Members & Officials, Competitions Participants and User List functions to be sent to the selected people.

Every Federation Administrator can create new competition sites which do not exist yet from migrated data. The code can freely be defined by the Federation. Some disciplines may come up with a standard to be followed for the allocation of the site Code. If the site is not known when registering the competition, a Federation may open a site with the name “To be announced” or similar.

Besides Ranking List competitions, EMS can be freely used to administer/run all sort of national competitions (club & grass-root events, regional/national competitions, etc.). Results from non-homologated competitions/events will not be counted for the International Ranking List.

EMS will become mandatory for all National Federations and disciplines Barefoot, Cable Wakeboard, Cableski, Disable, Wakeboard Boat and Waterski for all Ranking List competitions taking place from January 1, 2021.

The Athlete has to login into EMS with his email ID and password, chooses the menu item “My Competitions” and adds his participation to an event by pressing the blue “New Participation” button and selecting the competition he wants to register. For more details refer to the video tutorial “EMS role and functions of the Athlete” under the EMS Home Screen in the section RESOURCES of the footnotes (scroll down on the EMS Home Screen).

If an Organiser chooses not to let Athletes register on-line in an event, he can do so and must inform the potential Athletes accordingly. Consequently, Athletes will register to the competition through traditional means (email, entry forms, local system) and it will be Organiser who will enter the participants in EMS. A Federation Administrator/User can create new Sites and update existing ones. The Site code can be defined by the Federation normally with the leading 3-digit country code. A site is not discipline dependant and can serve for all disciplines, e.g. if a site offers facilities for Waterski and Wakeboard one site registration can be registered but it is also possible to register a site per discipline.

Before EMS the Competition Codes were manually allocated by the Federations for the Lion Scoring System. In EMS, the code is automatically created by the system on the basis yyFFFxxx (yy=year, FFF=Country Code, xxx=sequence number); for titled events on the basis yyFFFFxx (FFFF=IWWF for World Championships, AFRI, ASIA, EURO, OCEA and PANA for Confederation Championships).

His first task should be to get familiar with the EMS system. In principal, EMS is easy to use and self-explanatory. Subsequently, his first preparation activity for the present or upcoming season is the registration of competitions. In this respect it is up to the Federation whether they centrally register their competitions or whether they invite Organisers to become an EMS Member and register their competition(s) themselves. Generally, Federations have chosen to register competitions centrally by an EMS Federation Administrator for this initial period of the EMS implementation. It is also up to the Federation whether they register only Ranking List or also their national competitions. EMS provides the solution for all type of competitions.

Also, Federations can start to clean-up migrated data of Officials: Clarify and update if necessary names and functions. Eliminate duplicate entries.

As explained before, it is a ONE-TIME exercise and gives the following advantages for the National Federations:

  • Control correct Last/First Name and birthdate to avoid wrong age category allocations
  • Make sure that only members/licence holders of a Federation can register to EMS competitions
  • To have a clean database for future use by the Federation
  • 5.232 historical competition results since 2006 have been migrated from Emmanuel Lion’s and Bob Corson’s databases. Through the invitation process the Federation creates the link between an Athlete’s profile, his Login and these historical data.

For disciplines Cableski, Disable and Waterski, Officials have been migrated through existing files delivered by the respective Councils. Officials can be invited similar to Athletes but through the Members & Officials screen by selecting the appropriate Member/Official, clicking the “Invite to EMS” button and indicate the e-mail of the Member/Official.

Scorers have a central role in EMS as in the past when it comes to run scores, publish starting lists, live-scores and final results of competitions. Those Federations/scorers using the Lion Scoring Systems will be able to download the Jury Panel, participants of the competition from EMS to the Scoring System and will not need to register those elements manually into the Scoring System. Subsequently he can upload start-lists and live-scores to EMS during the competition and upload the final results after completion of the competition. All historical data for all disciplines available from IWWF systems (Scoring/Ranking List/Result Systems) will be migrated to EMS. The present database includes migrated data of Waterski athletes, and Cableski/Disabled/Waterski Officials. A new migration is planned this month for Barefoot, Cableski, Disabled and Waterski athletes, officials,All historical data for all disciplines available from IWWF systems (Scoring/Ranking List/Result Systems) will be migrated to EMS. The present database includes migrated data of Waterski athletes, and Cableski/Disabled/Waterski Officials. A new migration is planned shortly for Barefoot, Cableski, Disabled and Waterski athletes, officials, competitions and results. Wakeboard Boat data migration is under analysis and may follow.
